Accessing the Storage Estimator

Navigate to Inventory > Storage Estimator from the left-hand menu.

Understanding the Interface

The Storage Estimator page has the following key sections:

1. Input Fields:

• Pre-defined Products:
  • Select a pre-defined product from the dropdown list.
• Calculated By:
  • Choose how the calculation is determined (e.g., by Box Count or Item Count).
• Measurement Unit:
  • Select the measurement unit (e.g., inches, cm).
• Custom Dimensions:
  • Input the Length (L), Width (W), Height (H) of your product or storage box (if not using a pre-defined product).
• Additional Fields:
  • Items per Pack: Enter the number of items in each pack.
  • No. of Boxes: Specify the number of boxes for storage.
  • Period (months): Indicate the duration of storage.

2. Action Button:

• Calculate:
  • Once all fields are filled, click the purple Calculate button to get an estimate.

3. Estimated Cost:

• The system displays an estimated monthly storage cost in the right-hand section after calculation.

4. Support Section:

• A prompt to contact support if you’re unsure about the required storage unit size.

How to Use the Storage Estimator

1. Choose Input Method:

• Option 1: Select a pre-defined product from the dropdown list.
• Option 2: Use custom dimensions for a product or box.

2. Input Required Details:

• Enter details like product dimensions, items per pack, number of boxes, and storage period.

3. Calculate Storage:

• Click the Calculate button to view the estimated cost on the right-hand side.

4. Review and Adjust:

• If needed, modify the inputs and recalculate to refine the estimate.

Tips for Effective Use

• Pre-defined Products: Use the pre-defined product option for faster calculations if your product exists in the system.
• Custom Dimensions: Ensure accurate measurements for custom dimensions to get precise estimates.
• Duration Planning: Input realistic storage periods to align with your inventory strategy.
• Support Assistance: Contact support for complex calculations or guidance on choosing the right storage solution.

Navigating the Design Reviews Section

1. From the sidebar, go to Inventory > Design Reviews.

Understanding the Interface

1. Estimate Cards: Each design review is displayed as a card with the following details:

• Estimate Number: A unique identifier for the design review (e.g., EST-014218).
• Date: The creation or submission date of the estimate.
• Client Name: The client or company associated with the design review (e.g., Blink Marketing Inc).

2. Pagination: Use the navigation at the bottom to move between pages if there are multiple design reviews.

Actions You Can Perform

1. Search for an Estimate:

• Use the search bar at the top right to find specific design estimates by entering their estimate number.

2. Review Estimates:

• Click on an estimate card to view the detailed information about the design.

3. Project Information:

• Project Name: A unique identifier for the design project.
• Customer Name: The name of the customer or client (e.g., Blink Marketing Inc).
• Date: The date the design proof was generated.

4. Product Design Details:

• Product details are displayed, including:

1. 1. Product Name: The specific product being reviewed (e.g., Grom 22oz Aluminum Sports Bottle).
   2. Color: The product’s color (e.g., Charcoal).
   3. Price: The starting price of the product.

5. Action Buttons:

• Select All: Enables the selection of all displayed proofs for bulk actions.

• Accept All: Approves all selected design proofs.

• Request Change: Sends a request for changes to specific or all selected proofs.

• Share: Use the Share button to share the proof with stakeholders or team members for collaboration.

6. Click the ‘Share’ Button:

• Locate the Share button on the design proof details page and click it. This will open the Share Proofs pop-up.

7. Choose How to Share:

• Select Contact:
  • From the dropdown menu, select a saved contact to share the proof with.
• Enter Name and Email:
  • If the contact is not saved, manually enter their Name and Email Address.

8. Send the Proof:

• Once the details are filled out, click the Share button to send the proof.

• If you wish to cancel the action, click Cancel.

Steps to Download the Design Proof PDF

1. Access the Design Proofs Page:

• Open a specific design proof from the Design Reviews section.

2. Locate the PDF Download Icon:

• On the top left corner of the Share button, you will see a small icon that resembles a document with a downward arrow.

3. Click the PDF Download Icon:

• Click this icon to download the design proof in PDF format.
• The PDF will be saved to your device, typically in the default Downloads folder.

Use Cases for Downloading PDFs

• Offline Review: Share the PDF with team members or clients who may not have access to the system.
• Record Keeping: Save a copy of the proof for compliance or future reference.
• Feedback Annotations: Use the PDF to annotate or provide detailed feedback before sharing it with stakeholders.

Tips for Managing Design Reviews

• Organize by Date: Focus on the most recent estimates to ensure timely approvals.
• Keep Track of Estimate Numbers: Use unique estimate numbers for quick reference and communication with the design team.
• Collaborate Efficiently: Communicate promptly with the design or marketing team for necessary adjustments.

Navigating the Warehouse Module

1. From the dashboard menu, select Inventory > Warehouse.

Understanding the Interface

• Product Cards: Each product is represented as a card with the following details:
  • Category: Product type or grouping (e.g., Polos, Hats, Drinkware, T-Shirts).
  • Product Name: The name or description of the product.
  • Dimensions: Measurements of the product (length × width × height).
  • SKU (Stock Keeping Unit): A unique identifier for inventory tracking.
  • Color, Size, and Quantity: Specific product attributes.
  • Price: Cost of the product.
  • To Ship: Button to add the product to shipping.

Product Statuses

Each product in the Warehouse Module is assigned one of the following statuses:

1. In Review:

• Indicates that the product is pending approval or requires further verification.
• These products are not yet finalized for actions like shipping.

2. Approved:

• Products with this status are reviewed and ready for shipping or further processing.
• They can be added directly to shipping using the ‘+ Add’ button.

Adding a Shipment

The Warehouse Module allows you to add shipment details for products marked for shipping. Follow these steps to complete the shipment process:

1. Select a Product:

• Locate the product you wish to ship in the Warehouse module and click the ‘+ Add’ button under the To Ship column.

2. Add Shipment Details:

• A pop-up window titled Add Shipment will appear.
• Select Courier:
  • Use the dropdown to choose a courier service (e.g., FedEx, DHL, etc.).
• Enter Tracking Number:
  • Input the tracking number provided by the courier.
• Click Add Shipment to save the shipment details or Cancel to exit without saving.

3. Confirmation:

• Once the shipment is added, the details will be reflected in the system for tracking purposes.

Tips for Efficient Management

• Regularly review products under In Review to maintain inventory accuracy.
• Approve products only after verifying details to avoid discrepancies during shipping.
• Use clear SKUs for better inventory tracking and streamlined management.
• Monitor quantities to ensure you can meet demand without overstocking.

• Use the Create Inventory button next to “Add Products.”

Step 2: Fill in Single Product Information

1. Product Category

• Locate the drop-down menu labeled Product Category.
• Click the drop-down and select the category that best fits your product.

2. Product Title

• Enter the name of your product in the Product Title text field.
• Keep the title concise and informative (maximum 150 characters).

3. Product Description

• Write a detailed description of your product in the Product Description text box.
• Highlight key features and use clear language to describe the product.

Step 3: Add Product Media

1. Find the Add Product Media section.

2. Click on the upload area labeled Please Upload Your Logo.

• Upload a high-quality image of your product (minimum resolution: 1000×1000 px).
• Supported formats: JPG, PNG, or WebP.

Step 4: Add Item Attributes (Optional)

1. Size

• Select a product size from the Size drop-down (if applicable).

2. Color

• Choose the product’s color from the Select Color drop-down menu.

3. Material

• Specify the material of your product in the Select Material field.

4. Quantity

• Enter the number of units available for this product in the Quantity field.

Note: This section is optional. Use it only if your product comes in multiple sizes, colors, or materials.

Step 5: Fill in Item Details

1. Width, Length, Height, and Weight

• Measure the product and enter the dimensions:
  • Width: The product’s width (e.g., when folded or packaged).
  • Length: The length of the product.
  • Height: The product’s height.
  • Weight: The weight of the product.
• Ensure these details are accurate for storage calculations.

2. SKU (Optional)

• Enter a unique Stock Keeping Unit (SKU) code for the product. This step is optional but useful for inventory management.

3. Price

• Set the selling price of the product in the Price field.

Step 6: Agree to Terms

1. Scroll down to the bottom of the page.

2. Check the box for I agree to our Terms of Use and Privacy Policy to confirm your agreement.

Step 7: Submit the Product

1. Double-check all the details you’ve entered to ensure accuracy.

2. Click the Submit button at the bottom of the form.

• Your product will now be added to the BlinkSwag inventory.

• Click the purple “Add Products” button in the top-right corner.
• This will open a selection interface showing products available under BlinkSwag’s predefined categories.

Browse Categories:

• Use the filter on the left-hand side to narrow your search:
  • Categories: Choose a category such as Water Bottles, Coffee Mugs, Tumblers, or Backpacks.
  • Brands: Filter by specific brands like Generic, Elixir, H2GO, etc.
  • Price Range: Adjust the price slider to match your budget.
  • Country: Specify the country where the product is available.

Search for Products:

• Use the search bar at the top to find specific products quickly by name or description.

Select a Product:

• Browse the displayed items and click “Select Options” under the product you want to add.
• Example Products:
  • Grom 22oz Aluminum Sports Bottle – $20.10
  • Elixir 20oz Tritan Sports Bottle – $12.32
  • The H2GO Sport Bottle – $24.54

Customize the Product (if applicable):

• Depending on the product, you may be able to customize details such as:
  • Color
  • Size
  • Logo or branding options (optional based on product type) and press “Next Button”

Review Added Products:

• View Selected Products:
  • You’ll be redirected to this screen after selecting products and customizing options (e.g., quantity, color, or size).
  • The screen summarizes all the items you’ve selected for your inventory or order.
• Product Details Displayed:
  • Image: A visual thumbnail of each product.
  • Product Name: The name of the product.
    • Example: “Grom 22oz Aluminum Sports Bottle” or “TravisMathew Coto Performance 1/4-Zip.”
  • Additional Options:
    • Color: Displays the chosen color (e.g., Charcoal, Black).
    • Size: If applicable, display the size (e.g., XS for apparel).
  • Quantity: Shows the number of units you’ve added.
  • Price: The unit price of the product.
• Action Buttons:
  • Remove Products:
    • Each product has an “X” button under the Action column.
    • Click it to remove the item from your selection if needed.
  • Select More Products:
    • Use the Select Products button on the right to add products to your list.
• Subtotal Calculation:
  • At the bottom, you’ll see the subtotal of all selected items based on quantity and unit price.
    • Example: $3241.50 for the selected items.
• Proceed to the Next Step:
  • Click the Next button at the bottom of the screen to move to the next phase of the process, such as setting order requirements or entering shipping details.

Additional Tips

• Modify Quantities:
  • If you need to adjust quantities, return to the product customization page by clicking the “Back” button or removing the item and re-adding it with updated values.
• Bulk Pricing:
  • Ensure the quantity reflects any applicable bulk discounts shown earlier in the product details.
• Order Requirements and Shipping:
  • After finalizing products, the next step will likely involve specifying requirements for the order and entering shipping details.

Access the Logo Upload Screen:

• After selecting products and finalizing quantities, you are directed to the Order Requirement step.
• This screen lets you upload your logo or branding design to customize the product.

Upload Your Brand Logo:

• Locate the Upload your brand logo section on the left-hand side.
• Click the Upload button to upload your logo files.

File Format Requirements:

• Ensure your logo files meet the following format specifications:
  • Accepted formats: .jpeg, .jpg, .png
  • A maximum of 5 files can be uploaded.
  • Use a high-resolution image or vector file (if applicable) for best results.

Preview the Product:

• On the right-hand side, you’ll see a preview of the product with your branding applied.
• Use the arrows to toggle through different angles or colors of the product.

Next Steps:

• Once you’ve uploaded your logo and are satisfied with the preview, click the Next button at the bottom to proceed to the next step, which is likely shipping or final order details.

Warehouse with Us (Optional):

• At the top of the form, you’ll see a toggle option for “Warehouse with us.”
• Toggle this ON if you want BlinkSwag to store the products for you in their warehouse.
• Toggle OFF if the products will be shipped directly to you or your specified address.

Provide Contact Information:

• Full Name: Enter your full name to identify the contact person for the order.
• Email Address: Provide an email address for communication or updates about your order. (This field is mandatory.)
• Phone Number (Optional): Add a phone number for urgent inquiries or issues.

Specify Company Information:

• Company Name: Enter the name of your organization or company.
• This helps BlinkSwag associate the order with your business.

Set a Target Date (Optional):

• Use the Target Date field to specify the desired delivery date for your order.
• Click on the calendar icon to select the date.

Add Notes or Comments (Optional):

• Use the Any additional notes or comments box to provide specific instructions or details, such as:
  • Delivery preferences
  • Additional recipient information
  • Special handling requirements

Submit the Form:

• Once all the required fields are filled in, click the Submit button at the bottom of the page to complete the shipping details step.

Final Step: Request Processing Confirmation in BlinkSwag

You’ll see the Processing Request screen once you’ve completed all previous steps, including product selection, customization, and shipping details. This step confirms that your request has been submitted and is being processed by BlinkSwag.

What Happens Next?

1. Processing Status:

• The message on the screen states:
  “We are processing your request.”
• This indicates that your order or request is now in BlinkSwag’s hands for further processing.

2. Response Timeline:

• BlinkSwag’s team will get back to you within 24 hours.
• They will provide:
  • A proof of your order (e.g., mockups or design confirmation).
  • A quote for the requested products and services.

3. Confirmation Details:

• You do not need to take any further action at this point.
• You will receive an update via the email address provided in the shipping details.

4. Navigation Option:

• The Back button on the screen allows you to navigate back to review the previous steps or make adjustments if necessary.

Add to Cart

View Cart: Click this to review your cart and proceed with checkout.

Continue Shopping: Select this if you want to add more items before purchasing.

Create a Shipment and Finalize the Order

1. Select Recipients

• Choose an existing recipient from the contact list.
• Alternatively, click “Create Contact” to add a new recipient manually.

• You can also upload a CSV file for bulk shipments.

2. Review Order Summary

• Ensure the selected product and quantity are correct.
• The order summary will display:
  • Total Product Price
  • Picking Fee
  • Fulfillment Fee
  • Shipping Cost (TBD)
  • Total Order Value
  • Payment Method (e.g., Net 15)

3. Set a Target Delivery Date

• Select the desired delivery date using the date picker.
• This helps in ensuring timely shipment.

4. Upload Additional Documents (Optional)

• If necessary, attach relevant documents (up to 5 files).
• Drag and drop files into the designated box.

5. Add Additional Notes (Optional)

• Enter any special instructions or comments for the shipment.

6. Submit the Shipment

• Once all details are verified, click “Submit” to finalize the order.

Send Gifts from Your Inventory 

If you choose to send a gift, you can design a personalized Gift Email, which will be sent to the client you select.

Designing the Gift Email

1. You will be prompted to design your gift email.

2. Choose a banner image to personalize your email.

3. There are multiple categories available, including:

• Birthday
• Congratulations
• Thank You
• Motivational
• Anniversary

Choosing a Banner Image

• Select a category from the drop-down menu.

• Browse through the available banner images.

• Click on the image you wish to use.

Personalizing the Gift Email Message

1. Enter the Sender Name:

• Fill in the name you want the recipient to see in the “Sender Name” field.

2. Write an Email Greeting:

• Type a personalized message in the provided text box.

• The message should celebrate the recipient and fit the occasion.

3. Use Message Templates (Optional):

• Click on the “Message templates” button to choose from pre-written messages.

4. Enhance with AI (Optional):

• Click “Re-write with AI” to generate an improved or alternative message.

5. Preview the Email:

• The email preview on the right shows how your message and design will appear to the recipient.

6. Proceed to the Next Step:

• Once satisfied, click the “Next” button to finalize your gift email.

Adding Recipient Details

1. Manually Enter Recipients:

• In the Recipient Name field, type the name(s) of the recipient(s).
• In the Recipient Email field, enter the email address(es) of the recipient(s).
• You can send the gift to multiple recipients by adding multiple names and emails.

2. Select a Contact Group (Optional):

• Choose from predefined contact groups, such as:
  • Managers
  • OS Team
  • Vendors
  • Default Team
• This is useful for bulk sending to specific teams.

3. Import Contacts via CSV (Optional):

• Click “Upload CSV file” to import a list of recipients in bulk.
• A Sample CSV file is available for reference.

4. Confirm and Proceed:

• After adding recipients, click “Next” to move to the final step.

Review and Send the Gift

1. Verify Product Selection:

• Ensure the correct product is selected.
• Click on the Products dropdown if changes are needed.

2. Check the Email Greeting:

• Review the personalized message to confirm accuracy.
• Click on the Email Greeting dropdown to make modifications if needed.

3. Confirm Recipient Details:

• The recipients’ names and emails will be displayed.
• If changes are required, click Edit to update recipient details.

4. Enable Product Swap (Optional):

• Toggle the Product Swap option if you want recipients to choose a different product.

5. Preview the Email:

• A preview of the gift email is displayed on the right side.
• Confirm the email design, message, and recipient details.

6. Send the Gift:

• Once everything looks good, click “Send a Gift” to finalize and send the email.

Manage Inventory in BlinkSwag Dashboard

1. Navigate to the Inventory tab on the left sidebar menu under “Dashboard.“

2. The inventory module displays:

• Total spending
• Orders
• Pending orders
• Total recipients
• A categorized list of all inventory items

Key Metrics Overview

At the top of the inventory page, you’ll see key metrics that summarize your inventory status:

1. Total Spent:

• Shows the cumulative amount spent on inventory.
• Displays new spending for the current month.
• Example: $3564.06 total, $3212.05 new in this month.

2. Total Orders:

• Number of orders fulfilled or processed.
• Example: 86 total orders, 30 new this month.

3. Pending Orders:

• Lists orders awaiting fulfillment.
• Example: 0 pending orders.

4. Total Recipients:

• Shows the number of unique recipients who have received inventory items.
• Example: 14 recipients, 12 new this month.

Product Categories

The inventory module categorizes your products for easier navigation. At the top of the product display, you’ll find category tabs such as:

• BlinkSwag Gifts
• Tech & Tools
• Outerwear
• T-Shirts
• Bags
• Polos & 1/4 Zips (current tab)
• Long Sleeve Shirts
• Hats
• Other Apparel
• Drinkware
• Notebooks & Pens
• Home & Living
• Bonus Items
• Sports

To switch between categories, click on the desired tab. Products specific to that category will appear below.

Product List Section

For each product in the inventory, you’ll find detailed information organized in a card format. Below is a breakdown of the components:

1. Product Image:

• A thumbnail to visually identify the product.

2. SKU (Stock Keeping Unit):

• The unique identifier for each product.
• Example: BC-SM-EB254-XS (Eddie Bauer Sweater Fleece 1/4-Zip).

3. Product Name & Description:

• Short name or description of the product.
• Example: Eddie Bauer Sweater Fleece 1/4-Zip.

4. Price:

• Displays the unit price of the product.
• Example: $73.75.

5. Stock Levels (SOH & ROP):

• SOH (Stock on Hand):
  • Indicates the current quantity of the product available in stock.
  • Example: SOH: 0 (Out of stock).
• ROP (Reorder Point):
  • Represents the threshold quantity where you should reorder stock.
  • Example: ROP: 0 (No reorder level set).

6. Edit ROP (Reorder Point) By Clicking on Pencil Icon:

Search Functionality

• Use the search bar at the top of the inventory list to find specific products by name or SKU.
• Example: Enter “Eddie Bauer” to locate all related products.

Select a Product

You’ll able to see detailed information to selected product 

From this step, you can choose to “Send as Gift” or “Add to Cart”. Which we will discuss in next guide in detail.
